Information Capture

All scanned documents should be easily available for future reference.

Using DIAMOND software Documents are automatically "indexed" when they are entered into the system. This produces data for abstract summaries, context searches, auto-filing, etc.

Indexing also allows for a number of different ways to Reference documents in addition to the auto-index. This referencing process could be manual or automatic and take references from bar codes, OCR, OMR and ICR.

References can also be applied using the e-Notes application and documents can be grouped in a Child-Parent relationship.

The system should be capable of handling e-mail scans as well as conventional mail.

The DIAMOND software business process flow system allows for the entry of email automatically into the software system. The conventional mail will need to be scanned and either entered directly into the system or emailed following scanning from a remote location.

The data is transported over a standard TCP/IP network using standard Web based tools. Documents are emailed to the server and retrieved through a Web Browser.

The ability to scan documents should be available from several remote locations

The DIAMOND software system allows for publishing of documents from an Intranet or Internet so wherever the scanning is carried out, the same location is able to publish to the administrator or server, depending upon security levels.

Where OCR software is insufficient to adequately index a document, the document can be indexed manually.

The document when published into the Internet / Intranet server will also automatically receive an index coding.

Direct entry typing

Documents developed in any application are automatically indexed when published to the DIAMOND software system

Document / forms that are already on the system requiring further information will receive a new revision coding and previous document as well as the revised are kept in the system

Should be capable of handling a wide diversity of documents.

Documents varying in size from business cards to A0 drawings; multi-page booklets; hand-written notes; microfilm / microfiche convertor, video; audio; fax are all handled by the system.

The DIAMOND software system supports all types of files, data and documents.

Maps and drawings need to be scanned to scale and printed as such. Scanned maps should electronically store measurements

The DIAMOND software system retains documents in their original form, which means that the reproduction of documents such as maps is dependent only on the scanning equipment and viewing applications.

Measurements, scale and other such information can be stored during indexing.

Providing the image size and scale is known before scanning, then the scanned image will replicate that scaled relationship. All types of scanned images are- supported in ATIX / DIAMOND software.
