Knowledge Base

Knowledge Base Management is one of the most critical issues

In addition to making corporate information available on line and providing advanced ways of retrieving it we also need to capture "Know How". Knowing the way things are done in the organisation. This covers five Key areas:

Hence any successful information and document management strategy has to take full account of the business objectives and be based on a full understanding of the business processes. Once we understand our objectives and the processes, however, the only way of managing the documentary information and making it available when required is via a document management system.

Any corporate information and document management strategy should involve reviewing three vital areas: business process re-engineering; document records management and the IT infrastructure

Legacy electronic systems / documents

The DIAMOND software system supports all types of electronic documents. Legacy documents tend to be ASCII text held in flat-files or databases. This is excellent for indexing and context searches.

Other types of electronic applications / documents such as video, audio/fax,

The DIAMOND software system supports all types of files, data and documents.

The developed and growing knowledge base

The linking of the DIAMOND software system to other applications within the client system is inherent. The documents are stored in their original form and the original application can be used to view and edit the documents.

The client/server design of the system is also such that a web front-end can be put on existing systems and applications so that processing is done at the server end rather than the client end.

Any technical restrictions will only be if the existing systems / applications are ‘closed’

i.e. they have no standard interfaces and no means of developing a bespoke interface

The DIAMOND software workflow solutions allow for links or references to external documents

Exception reporting on outstanding actions

The DIAMOND software system is able to identify which documents have exceeded the pre-set rules and an exception report may be generated.

Standard reports are:

These are available on the server as Comma Separated Variable (CSV) text files. This means that they can be viewed, edited and displayed through a number of standard reporting tools including Microsoft Office97.

The system logs everything including performance statistics, who has accessed the system, etc.
